Who is this for? #

Directors whose district rosters student and parent data into Presto Assistant (see Set Up Automatic Rostering) and who want their groups to automatically stay in sync with that data.

What is RosterSync? #

School districts manage student records in a system called a Student Information System, or SIS. RosterSync connects one of your Presto groups to a class in that system, so when something changes there — a student joins, leaves, or gets updated — it shows up here for you to review instead of you adding or updating members by hand. If you'd rather not review every change yourself, you can also set changes to apply automatically — see Automate Roster Changes.

Before you begin #

  • Your Director profile will need permission to edit users to access RosterSync.
  • Your district's Admin or Admin Assistant needs to have already completed Set Up Automatic Rostering, and connected your Presto organization to its rostered campus in RosterSync by Campus.

Click RosterSync in the left navigation menu to get started. If your district administrator hasn't turned RosterSync on yet, you'll see this:

Connect Groups to Classes #

This is the first RosterSync step for your organization, after your Admin has Set Up Automatic Rostering and Enabled RosterSync by Campus. Here, you connect your groups to rostered classes, so RosterSync knows which of your groups should stay in sync with which class.

Press the "Connect Groups to Classes" button to get there.

A group can connect to more than one class, and a class can connect to more than one group — useful if a class is split across periods, or a group draws from several classes. You can work from either tab, depending on what's easier for you. Either way, click the three dots on a row, then choose "Connect" to pick new connections or "Edit" to change existing ones:

  • By Classes — Shows your district's rostered classes, so you pick which Presto groups each one should sync with.
  • By Groups — Shows your Presto groups, so you pick which rostered classes each one should sync with.

Choose "Disconnect All" from a row's three-dot menu to remove every connection on that row at once.

Pending and Reviewed #

Once at least one group is connected, this is what you'll see when you click RosterSync in the left navigation menu. Two tabs sit under the page title:

  • Pending — roster changes waiting for a decision: new members, removed members, and updated fields (like email or name). Nothing changes for your existing members until you approve it here. This is the default tab.

  • Reviewed — a history of decisions already made, going back 60 days.

A "RosterSync" card also appears on your Dashboard whenever you have updates waiting (for example, "You have 3 roster updates to review").

On the Pending tab:

  • Each row shows a member with pending changes and a summary of what changed. Click anywhere on a row to expand it and see the individual changes.
  • Press the ✓ or ✕ icon on a row to accept or ignore every pending change for that person at once, or accept/ignore individual changes once the row is expanded.

  • Click the three dots in the top-right of the table to open "More Actions", where you can accept or ignore every pending change at once, or just the rows you've checked. You'll be asked to confirm how many members will be affected before the bulk action runs.
  • If a new student or parent looks like someone already in Presto — the same person under a different record, returning from a previous year, or currently marked inactive — you'll see a match to confirm instead of a plain accept. Confirming it links the roster record to their existing account instead of creating a duplicate. A row like this is left out of bulk accept, since matching is a decision only you can make.

When there's nothing left to review, you'll see a message letting you know your roster is up to date.

Need to connect another group later? The "Connect Groups to Classes" button stays in the top-right of this page.

On the Reviewed tab, each row shows the member, what kind of change it was, the change itself (before → after), whether it was Accepted or Ignored, when, and who decided it. A change applied by one of your automation settings instead of a person shows "Automatically" in the "Decided by" column.

Automate Roster Changes #

By default, RosterSync asks about every change before doing anything. If you'd rather it just handle certain kinds of changes on its own, go to Settings, find the "RosterSync" row in the Integrations section, and press "Edit Settings".

There's a switch for each of these, grouped by what they do to your roster:

  • People joining — add new students and their parents automatically (anyone who might already be in Presto is still held back for you to review).
  • Member details — apply detail changes (name, email, student ID) automatically.
  • Group changes — add students to groups automatically, and/or remove students from groups automatically.
  • People leaving — remove members from your organization automatically. This one asks you to confirm before turning on, since it deactivates members (and their parents, unless they have another student in your organization) without anyone reviewing it first, and turning the switch back off later won't undo it.

Each switch takes effect at your next sync — Presto syncs with your SIS overnight — and anything it applies still shows up afterward on the Reviewed tab, marked "Automatically".

Next steps #

  • Come back to RosterSync any time from the left navigation menu to review new updates or connect additional groups.
  • If you add a new group later, return to Connect Groups to Classes to connect it to a rostered class.

Troubleshooting #

  • If you don't see "RosterSync" in your left navigation menu, confirm with your Admin that you're set up as a Director with permission to edit users.
  • If you don't see any rostered classes when connecting groups, ask your district administrator to confirm your organization has been connected to a campus — see Manage RosterSync by Campus.
  • If a class or group you expect to connect isn't showing up, confirm with your district administrator that the underlying data has been rostered and synced from your SIS.
